COVID-19 Safety Protocols & Guest Information

Since reopening the hotel on 11th July 2020 we have been successfully implementing a number of stringent safety measures for the safety of our guests and staff.  

As new regulations and restrictions are introduced by Welsh Government our safety measures are updated.  

The following guidelines are based on guidance from the Welsh Government and UK Hospitality and are subject to change.  

We are pleased to have received our 'Good to Go' accreditation prior to reopening and continue to follow the large number of safety protocols that was required in order to obtain the accreditation.  Acquiring this Industry Standard mark demonstrates that we have followed government and industry COVID-19 guidelines, have Risk Assessments in place and a process to maintain cleanliness and aid social distancing.

For those of you that are keen to plan ahead, please refer to our COVID-19 Booking Guarantee in relation to hotel bookings. If you wishing to dine with us at the hotel, pre-booking is required where we will take contact details for the lead booking for track and trace purposes.  

WHAT TO EXPECT AT THE PLOUGH

  • Sanitizing stations around the hotel available for both our guests and staff.
  • Floor markings and signage around the building to assist our guests to socially distance and to follow our 1-way system.
  • All staff have been trained to implement COVID-19 safety measures.
  • Face coverings worn by all staff and guests in all indoor public areas. 
  • Processes have been reviewed and revised to minimise contact between guests and staff and incorporate COVID-19 safety measures.
  • Enhanced cleaning regimes in both the bedrooms, rest rooms and communal areas.

Welsh Government guidelines for Hospitality from Monday 26th April 2021:

  • Outdoor dining is available for residents and non-residents of the hotel from Monday 26th April 2021.
  • All tables must be pre-booked by calling 01558 823431.
  • Contact names and telephone numbers will be required for each guest attending.
  • Maximum of 6 guests per table allowed from different households (children under the age of 11 are not included in the maximum numbers)
  • When booking, guests will be asked to confirm their address and will be required to provide verified ID on arrival. 
  • Guests are not permitted to mix with others during their visit and must remain seated at all times - apart from using the rest rooms
  • Table service will be provided and payments taken using card from tables.

Guest Information

Our guest information booklets have been removed from each of the rooms.  The most up to date information for guests staying at the hotel can be found below.

Check-in & Check-out

  • Prior to arrival date all guests will receive a pre-arrival email outlining all social distancing measures and protocols within the hotel.
  • We ask guests not to arrive before check-in time of 3pm unless prior agreement has been made.
  • Our reception area has been cleared unecessary furniture to allow for guests checking in to socially distance from one another
  • All guests are now required to wear a face covering when indoors in public areas (unless seated at a table)*
  • On arrival at the reception desk, if a guest is checking in, please wait on the allocated floor sticker maintaining at 2m distance until our reception team are available.  
  • All guests will be presented with a pack containing essential information relating to their stay, room service menus, a fully sanitized room card and a Visit Llandeilo brochure.
  • A Perspex screen will be on our reception desk for the safety of guests and staff.
  • All guests will be asked to confirm contact details (for track and trace purposes), whether anyone has COVID19 symptoms and if they have been instructed to self isolate by Track and Trace or after arriving in the UK from a COVID restricted country.
  • Those with symptoms will unfortunately be unable to stay at the hotel and will be advised to return to their home to self -isolate.
  • Should any guests develop symptoms during their stay, they will be advised to stay in their room and to telephone to our reception team. The relevant action plan will be implemented for the safety of other guests and our staff.
  • To minimise contact with staff we will no longer be able to guide guests to their rooms.
  • Prior to your arrival, your room will be thoroughly cleaned and sanitised by a member of our fully trained housekeeping team following strict guidelines. Should anything be of a concern to you, we ask that you contact our reception immediately.
  • Guests are to vacate their rooms by 11.00am unless a later check out has been requested with the reception team at a rate of £15.
  • On departure, guests will be asked to place their room card into the check-out box in order for all room cards to be sanitized.
  • Guests are asked to pay their bills using credit or debit cards.

Guest Accessories

  • A number of non-essential items have been removed from the rooms and are available from reception. (Iron, ironing board, hairdryer, additional blankets, tea/coffees and magazines)

Dining for Guests 

  • Our outdoor terrace reopens for guests from Monday 26th April 2021, however all guests will be offered room service at no extra cost for the duration of their stay to include
    • Breakfast (7.30am - 10am)
    • Lunch, Coffee and Cake Menu (10am to 5.30pm)
    • Lunch Menu (Monday to Saturday) (11.30am - 5.30pm)
    • Sunday Lunch (12pm - 2.30pm)
    • Dinner Menu (5.30pm - 8pm)
    • Drinks (10am - 9pm)

  • Please call reception to order. All items will be charged to your bill.
  • Guests will be required to submit their breakfast order to reception by 8pm the night before. 
  • Alternatively, guests can opt to dine on our terraces from Monday 26th April, however this must be pre-booked via reception.  
  • Maximum of 6 guests per table allowed from different households (children under the age of 11 are not included in the maximum numbers)
  • When booking, guests will be asked to confirm their address and will be required to provide verified ID on arrival. 

 

Room Service

  • Room service is currently available between 10am and 9pm daily, at no extra cost.

Gym & Sauna

  • Our gym and sauna will be not be open for guests at this time.

Housekeeping & Laundry

  • During your stay, our housekeeping team will not be making up rooms, however, should you require any additional towels or items for your room, please contact reception.
  • Guests staying longer than 2 nights can request for their room to be serviced if required.
  • If you require any items to be laundered during your stay, please request a laundry bag at reception.  For next day service, please hand in at reception before 9pm the night before.  No service for Sundays or bank holidays.
  • You'll notice an increased frequency of cleaning and disinfection within the communal and high traffic areas including the rest rooms. Please keep your distance from those that are carrying out cleaning tasks for everyone’s safety.

Social Distancing during your stay

  • All guests are now required to wear a face covering when indoors in public areas.
  • Please maintain a 2m distance from other guests and staff whilst in the hotel and are encouraged to wash hands regularly (or sanities where hand washing is not possible) especially after opening doors or touching surfaces within the hotel.

Health & Safety

  • Non-Smoking:  We respectfully request that all guests take note of our NON-SMOKING policy in our hotel bedrooms. Failure to observe this will result in an additional charge of £50.00.  Should we find that any of our fabrics and furnishings have been defaced during your stay, this will also incur an additional charge of a minimum of £50.00.
  • EMERGENCIES: In an EMERGENCY there is always a member of staff on call.
    Please dial ‘0’ for reception.  If you require a doctor: dial 9 for an outside line followed by 01558 823435 for local surgery, 101 for the local NHS help line or 999 in any other emergency.
  • Fire Safety:  Please find time to read the fire procedures on the back of your room door.  For your safety, please be aware of the location of the nearest fire exit. If you require assistance during an evacuation, please let our reception team know on your checking day.

  • Prior to your departure, we may ask you a few questions about your experience, this is to ensure we are receiving regular feedback and to make any necessary changes.
  • If you would like to highlight anything that maybe a cause for concern, please inform our reception team immediately

Restaurant

Please note, we have not confirmed a reopening date for our indoor dining areas and the following guidance is subject to change.

  • In order for us to pre-plan our dining areas, all guests will be required to pre-book tables for dining, including coffee/cake/brunch. 
  • At the time of booking, contact details for all guests will be required.
  • Table bookings will be subject to a maximum number and will be confirmed by Welsh Government in the coming weeks. 
  • When booking, guests will be asked to confirm their address and will be required to provide verified ID on arrival. 
  • Please arrive on time for your allocated slot and use the main entrance off the road or via our reception, adhering to the 1-way system. Due to restrictions there will be a limited amount of bookings we can take.
  • All guests are required to wear a face covering when indoors in public areas (unless seated at a table).
  • We look forward to your arrival, however no hugs or handshakes for the time being.
  • Your server will meet you on arrival where you will be shown to your fully sanitised table.
  • Please respect the 2m social distancing between both guests and staff.
  • We have sanitising stations around the hotel and restaurant and are asking guests to sanitise their hands-on arrival and whenever necessary.
  • All tables have been spaced out to allow for social distancing. You may notice your table looks a little bare, however your server will ensure you have cutlery and condiments ready for when your meal is served. This is to prevent cross contamination.
  • Unfortunately, we won't be able to serve drinks from the bar, however, your server will take your order from your table. If you require additional drinks or items, please alert a member of the restaurant team.
  • Face masks will be worn by staff when serving food and drinks to your table.  
  • Staff will be following strict hand hygiene protocols, sanitising and hand washing regularly. This may result in a slightly slower service, however, please bear with us as this is for everyone’s safety.
  • All payments will need to be made at the table and we are asking that all guests pay with card. 
  • Should guests need to use the rest room during their visit, we ask that they follow the one-way system and avoid using the rest room if it is already occupied by another guest.
  • All children under 12 must be supervised by an adult at all times including the use of the rest rooms. 
  • Prior to leaving, your server may ask you a few questions about your experience, this is to ensure we are receiving regular feedback and to make any necessary changes.
  • All guests will be asked to exit via our reception, following the 1-way system.

Outdoor Dining

Our terraces are open daily from Monday 26th April 2021 - weather permitting

Serving Times: 

  • 10am to 5.30pm - Lunch, cake & coffee menu
  • 11.30am - 2.30pm - Lunch menu
  • 3pm - 5.30pm - Lounge Menu
  • 5.30pm to 8pm - Dinner menu
  • 10am - 9pm - Tea/Coffee/Drinks served 
  • All tables must be pre-book tables in advance by calling 01558 823431. 
  • All guests must provide a full name and contact number for our records (for track and trace purposes)
  • Our tables have been spaced out to allow for social distancing and we ask that guests do not move these. 
  • Guests are asked to ensure they are following government guidelines in referencing to socialising and must not congregate in groups whilst on the premises.
  • On arrival, guests will need to wait to be shown to a table.  This ensures that we have fully sanitized the table after the prior guest has left.  
  • Your server will take your orders at the table.
  • All food and drinks will be served to your table.
  • Face masks will be worn by your server when serving you.  
  • Restrooms will be open during your visit.  On entering the building we ask that you sanitize your hands and follow our 1- way system.  If the toilet is occupied, please wait in the corridor, maintaining a 2m distance from guests and staff.  
  • All children under 12 must be accompanied by an adult at all times. 
  • Hand washing after a visit to the restroom is recommended.   
  • Payment will be taken at the table and we recommend guests use debit/credit card and contact less where possible.  

Indoor Communal Areas

  • All guests are now required to wear a face covering when indoors in public areas.
  • You'll notice an increased frequency of cleaning and disinfection within the communal and high traffic areas including the rest rooms. Please keep your distance from those that are carrying out cleaning tasks for everyone’s safety.
  • Our ground floor lounge area has been removed for the time being to allow us to create a 1-way system

Wearing of Face Coverings Indoors

As outlined by the Welsh Government, from Monday 14th September it will be a legal requirement for everyone aged 11 and over (including customers and staff) to wear a face covering in public indoor areas unless seated at a table having food and/or drink or there is a reasonable excuse.  Welsh Government have provided the following guidelines.  You may have a reasonable excuse not to wear a face covering if (for example):

  • you are not able to put on or to wear a face covering because of a physical or mental illness, or because of a disability or impairment;
  • you are accompanying somebody who relies on lip reading where they need to communicate; or
  • you are escaping from a threat or danger and don’t have a face covering.
